Module 6: Your Key Responsibilities & Weekly Rhythm at SKOLA

Hello Teachers!

Welcome to your go-to guide for the regular tasks and routines that are part of your teaching role at SKOLA. Staying on top of these helps everyone – our students get the best care and make great progress, and our school runs like a well-oiled machine! This module outlines what you need to do, when, and how.

1. Class Registers: Accurate and Timely Attendance Records

  • What it is: Keeping an accurate record of which students are in your lessons. This is vital for safety, student welfare, and administration.

  • Key Info:

    • Take at the start of EVERY lesson.

    • Morning registration is crucial – complete it before 09:15 AM.

    • Use codes: P (Present), A (Absent), L (Late).

    • Never leave blanks! If a student isn't there, mark 'A'. If they arrive, change 'A' to 'L'.

    • The register also shows which students are leaving on Friday, their estimated level, and first language. 

  • How to Complete This Task:

  1. ​​Access the Register: Log in to the SKOLA Google Drive and then search 'Week X RP/ GG Master 2025'. For example, 'Week 5 RP Master 2024' ​​​​​​​​​​​​​​​​​​​​​

  2. Find Your Class: Select the correct class using the tabs at the bottom. For example, LL (London Leaders) Metropolitan (50-55).

  3. Mark Attendance: For each student listed, select or enter 'P', 'A', or 'L'.

  4. Update if Needed: If a student marked 'A' arrives later, promptly change their status to 'L'.

  5. Save/Confirm: Google sheets automatically saves.

    1. Internet Down? (Backup Plan): If the online system is unavailable (this is very rare), write down your students names on a piece of paper. 

2. End-of-Course Certificates​:

  • What it is: Preparing official certificates for students who are finishing their course at the end of the week.

  • Key Info:

    • For students leaving your class(es) on any given Friday.

    • Deadline (Regent's Park Groups - Explorers & Leaders): Submit to DoS by end of day Wednesday.

    • Deadline (Gloucester Gate Groups - Wanderers & Discoverers): Submit to DoS by end of day Thursday.

  • How to Complete This Task:

    1. Get Certificates: Obtain blank physical certificates from your DoS

    2. Check Leaving List: Confirm with your DoS or the register which students from your class(es) are leaving that Friday.

    3. Fill in Details Carefully: For each leaving student:

      • Write their full name (ensure spelling is 100% correct – check against the official register).

      • Fill in the course dates.

    4. Signatures: Ensure the certificate is signed by you 

    5. Submit: Hand the completed physical certificates to your Director of Studies (DoS) by the specified deadline for your site.

3. End-of-Course Student Reports​

  • What it is: Writing personalised reports for departing students, giving feedback on their progress and experience.

  • Key Info:

    • For all students leaving your class at the end of the week.

    • Deadline: Save reports by end of day Thursday.

    • Your DoS may give you feedback on your reports.

  • How to Complete This Task:

    1. Complete the Report using the information on your register 

    2. Students progress by +1 point for each week. 

    3. Special moment: this is your opportunity to share a special moment you have of your student. 

    4. Save Correctly:

      • Use a clear file name (e.g., StudentName_ClassName_Report_Date.docx) to your Google Classroom

      • Upload to the your by the end of day Thursday.

4. Weekly Progress & End-of-Course Assessments/Tests

  • What it is: Regularly checking student understanding and progress through short tests.

  • Key Info:

    • Weekly Progress Test: For all students in your class(es).

    • End-of-Course Test: Specifically for students leaving on Friday.

    • Record results in the register and on tutorial forms.

    • Give students feedback on their performance.

    • Deadline: Save your test materials by end of day Thursday.

    • Your DoS may give feedback on your tests.

  • How to Complete This Task:

    1. Design Your Tests:

      • Refer to curriculum objectives (Module 4) and lesson planning principles (Module 5).

      • Create short, appropriate written or oral test items that assess what you've taught.

      • Ensure variety in question types if possible.

    2. Administer the Tests:

      • Explain instructions clearly to students.

      • Ensure fair conditions for all students.

      • Manage time effectively during the test.

    3. Mark Consistently:

      • Mark all students' work fairly and consistently.

    4. Record Results:

      • Enter scores into the online class register 

      • Also record results on students' individual tutorial forms in their Learning Journal

    5. Give Student Feedback: Discuss test results with students (individually or as a group). Focus on what they did well and how they can improve.

    6. Save Your Test Materials: By end of day Thursday, upload the final versions of your test questions/materials to the correct Google Drive folders. ​

5. Weekly Teacher Reflection

  • What it is: Taking time at the end of the week to think about your teaching, what worked, and what you can improve.

  • Key Info:

    • Helps you plan even better lessons for next week.

    • Deadline: Save your reflection by end of day Friday.

    • Your DoS may review and discuss your reflections with you.

  • Think About Your Week:

    1. Consider:

      • What lessons or activities went particularly well? Why?

      • What challenges did you or your students face?

      • How was student engagement and participation?

      • Did anything surprise you?

      • What key things did your students learn?

    2. Complete the Reflection: Fill in the sections of the template thoughtfully and honestly.

    3. Plan Ahead: Note down any ideas or adjustments these reflections give you for your teaching in the upcoming week.

    4. Save Your Reflection: By end of day Friday, save your completed reflection document to the designated.
